    Administrative Coordinator

    We seek an Administrative Coordinator who works closely with Operations, Production and Booking in the performance of the following duties:  Compile, produce and distribute client estimates; document estimates and track loss of events and reason.  Process weekly Stagehand payroll in database and submit to Finance.  Track and report all hours; update Stagehand budgeting reports with actuals; reconcile HOPS account with GL.  Run & complete weekly billing reports from database. Enter billing report information to database paying attention to costs and distribution amongst clients. Itemize stage labor billing (cost and charge) to Artifax system.  Audit & update all billing resources prior to final submission to Finance (verify technical resources, charges, account codes, payments to date). Run, Name, Save & Distribute final billing invoices.  Post final invoices.  Audit Customer Statements from Finance.  Reconcile HOPS and Finance records before sending to Box Office for settlement.  Post net box office receipts to Artifax.  Verify refunds due, document balances due & inform internal constituents. Maintain HOPS AR Receivables List.  Update Budgeting Reports with Actuals.  Track, Process and Distribute Booking Statistics, Insurance Usage, Attendance, Weekly Profit and Loss Statements, Internal Reports.
    Qualifications:

    Bachelor's degree.  Excellent computer skills (Microsoft Word, Outlook, Excel (advanced), and familiarity with Databases); outstanding organizational skills with great attention to detail and ability to multi-task; understanding of basic accounting and budget procedures helpful; strong interpersonal skills with high sense of confidentiality.
