Title: Administrative Assistant
Department: Development
Reports to: Director, Development Services
Job Code: AADS

We seek an Administrative Assistant to provide administrative functions for the Development Services Department, including but not limited to: donor crediting and ticketing, assisting with departmental publications, such as annual reports, newsletters and Playbill listings; assist with the coordination of department interns; assist with data entry during peak data entry periods.

Qualifications: Bachelors degree. Strong communication skills, both written and verbal are essential; excellent organizational and interpersonal skills; attention to details and a creative approach to problem-solving are required. Must be comfortable setting priorities in a complex institutional structure and working as a member of a highly-skilled team.


Title: Coordinator, Community Programs
Department: Weill Music Institute
Reports to: Manager, Community Programs
Job Code: CCP

Weill Music Institute seeks a Coordinator for it Community Programs. Reporting to the Manager, Community Programs, responsibilities will include but not be limited to: Coordinating event production; staff and/or coordinate staffing for all community events; assist manager in booking events including confirming dates, handling contracts, and communicating with venues & artist; coordinate volunteers for events; participate in planning and assessment projects for these programs; work with Finance Department to process artist payments and invoices; enter expenses into budget; enter data into The Chron, Artifax, Tessitura, Excel spreadsheets and/or other applications as required; work with Marketing and Public Affairs Departments with regard to promotion, production of materials and photography and videography needs. Assist Manager with general administrative duties.

Qualifications: Bachelor degree in music or music education required. Interest and experience in community engagement in and through music required. Experience in concert production preferred. Must have strong communication and interpersonal skill; be organized and able to multi-task in a fast-paced environment to meet multiple, simultaneous deadlines. Able to work flexible hours including some evenings and weekends. Excellent computer skills with knowledge of Microsoft Office Suite including Outlook and Access and Tessitura Database Management.

Internships

Title: Art/Graphic Design Intern
Department: Marketing & Creative Services
Reports to: Art Director
Job Code: AGDINT

The Marketing & Creative Services Department at Carnegie Hall seeks an intern for the fall. Responsibilities include, but are not limited to the following:

Design work in InDesign; finish design work for the Docent guide; Work on corrections and updates on jobs created by other designers; Work on new jobs that have a template including Lobby Cards, 3-sheets, Librettos, Signage, stuffers, filler pages, Neighborhood Concert posters and inserts; some small-scale design jobs; upload Carnegie images (including all existing Sophie Hogarth illustrations) into the digital assets management system as well downloading from Getty to the onsite server (artist images).

Special skills required: Intern must be detail-oriented, have the ability to multi-task, have strong organizational skills, and be self-motivated. Knowledge of InDesign, Adobe creative suite (Photoshop, Illustrator, Acrobat, and Quark). Previous experience in arts administration and knowledge of music strongly preferred. Ability to work twenty hours a week and occasional late nights or weekends.


Title: Editorial Intern
Department: Marketing & Creative Services
Reports to: Assistant Editorial Director
Job Code: EDINT

The Marketing & Creative Services Department at Carnegie Hall seeks an intern for the fall. Responsibilities include, but are not limited to the following:

Helping to prepare materials for the upcoming season’s Playbills; Request artist photos, bios, sound clips, and video clips for artists; Piece together enhanced content materials and collect composer photos for use in Playbill; Help organize artist photos and upload them to the digital assets management system; Collect copy from outside departments (track down late copy and send reminder e-mails); Make editorial visits to people outside our department to get questions answered as they come up during the editing process; Perform chron dumps for marketing pieces

Special skills required: Intern must be detail-oriented, have the ability to multi-task, have strong organizational skills, and be self-motivated. Knowledge of Microsoft Office Suite.
