Position Scope:

The Administrative Coordinator supports Hall Operations, Production, and Booking with administrative functions including the collection, receipt, input, processing and reporting of data, particularly financial. This is a highly cooperative role working in an environment which manages multiple tasks with competing priorities and deadlines.

Responsibilities:

  • Maintains departmental billing process, financials, and receivables
  • Makes client calls, processes, and tracks rental and media inquiries and estimates
  • Maintains departmental databases, union employee payroll processing, and record keeping
  • Maintains departmental vaccine verification database process
  • Prepares statistical analysis for reporting • Reconciles department financials with the general ledger
  • Reports on revenues, payments, and box office reconciliations 
Qualifications

Qualifications:

  • Positive demeanor, superior phone manner, and professional verbal and written communication skills
  • Bachelor’s Degree
  • Familiarity with various musical genres preferred
  • Highly organized, detail oriented with the ability to prioritize and multitask
  • Possess a high level of integrity and discretion handling confidential information
  • Must be an experienced user of Microsoft Office (Word, Excel, PowerPoint) including spreadsheet creation and manipulation
  • Experience with SharePoint, Artifax, Tessitura, ProxyClick, and DocuSign preferred
