Assistant Director, Education Production

Complementing its performance activities, Carnegie Hall’s Weill Music Institute (WMI) creates extensive music education and social impact programs that annually serve more than 800,000 people worldwide, playing a central role in fulfilling Carnegie Hall's commitment to making great music accessible to as many people as possible.

This position is responsible for overseeing the Education Production team, which is responsible for producing a variety of events in the Carnegie Hall performance spaces, the Resnick Education Wing at Carnegie Hall, in the community, and on tour internationally. Reporting to the Director of Operations, WMI, this position oversees both full time and part time production staff.

1) Scope of responsibilities:

  • Oversee the production of all Weill Music Institute presentations, including approximately 30 performances in the Carnegie Hall performance spaces, 50 performances in the Resnick Education Wing, 20 performances in external settings, and hundreds of onsite and offsite classes, workshops, and rehearsals annually. Act as a liaison between WMI programming teams and internal or external venue management on all programs and projects, delivering on the production-related operations of these projects.
  • Create and maintain best practices and standards for all WMI productions through supervision of the Education Production team on assigned events. Assign production responsibilities for projects across the Education Production team.
  • Directly produce and manage the major events and concerts of the Weill Music Institute, including but not limited to the concerts of the annual tour of the National Youth Orchestra of the USA, NYO2 and NYO Jazz, Link Up, Musical Explorers and Musical Explorers Family Concerts, Family Days and Special Projects. Coordinate with artists and artist management, vendors, internal and external production and operations staff, and venue partners to produce these events.
  • Schedule, advance, and manage production meetings and rehearsals in support of these events, building essential production documentation for each, such as production schedules, stage plots and reports. Collect competing vendor bids for equipment purchases and rentals, ensuring productions stay within budget.
  • Oversee operations for the National Youth Orchestra ensemble residency period at SUNY Purchase, collaborating with WMI programming and SUNY Production and Operations teams to plan and execute all production-related activity on campus.
  • Collaborate with the Resnick Education Wing Operations and Carnegie Hall Operations and House Management when producing onsite events, ensuring internal deadlines for production advance documents are met.
  • Oversee room request and scheduling processes across the department, including the Resnick Education Wing, performances spaces, and offsite facilities. Supervise the Coordinator, Education Production in their role in this process.
  • Ensure the Education Production team keeps accurate event schedules and performance records in Diese and Artifax. Ensure timely delivery of repertoire data to Artistic Planning for the purposes of performance rights organizations (PROs) reporting. Interface with Marketing and Digital Content on WMI event page updates.
  • Oversee the ticketing process for WMI events, supporting the Coordinator, Education Production in their work with programing, program participants, and the Ticketing Department.
  • Engage and initiate contract requests for production designers for WMI productions, when applicable.
Qualifications

2) Special skills required:

  • Extensive experience in the production of major orchestral, music, theater, or other performing arts presentations in a variety of settings
  • Ability to work a flexible schedule, including nights and weekends as required
  • Ability to travel in a touring environment in the summers
  • Excellent communication, interpersonal, and organizational skills
  • Ability to meet deadlines and coordinate across a large, active and fast-paced department
  • Ability to maintain a calm demeanor under pressure
  • Strong background in event production
  • Excellent computer skills, including Microsoft Office
  • Experience with event management software such as Artifax or Diese preferred, but not required
  • Experience in the production of national and international orchestral or performing arts tours preferred, but not required
