Complementing these performance activities, Carnegie Hall’s Weill Music Institute creates extensive music education and social impact programs that annually serve more than 800,000 people worldwide, playing a central role in fulfilling Carnegie Hall’s commitment to making great music accessible to as many people as possible.

Reporting to the Manager, Education Administration, this position manages the day-to-day processing of contracts and payments related to program activity of the Weill Music Institute (WMI), the education and social impact arm of Carnegie Hall. The contracts drafted by this position engage a wide variety of artists, teaching artists, faculty, partners, vendors, and grantees who are key to delivering WMI’s programs in NYC, across the country, and around the world. This position is part of the Education Administration team and works closely with internal departments such as the Finance and Human Resources Departments.

1) Responsibilities include, but are not limited to:

  • Manage drafting (on and off template), vetting and processing of contracts, including but not limited to Letters of Agreement, Commissioning Agreements, and Grantee Agreements, on behalf of the WMI programming teams;
  • Communicate internally with various departments regarding contract negotiations, payment arrangements, as well as tax documentation;
  • Ensure contracts are moving through the creation, approval process according to schedule and are completed on time;
  • Coordinate artist payments in collaboration with Human Resources and Finance.
  • Maintain contract templates and incorporate edits as templates evolve;
  • Manage systems for collection of tax documentation;
  • Support the WMI programming team’s negotiations by ensuring the drafted agreements match the terms agreed upon.;
  • Process background checks for contracted individuals as necessary;
  • Collaborate with General Counsel and other Carnegie Hall departments as necessary on special negotiations and new templates. 
Qualifications
  • Critical thinking skills related to preparing contracts that achieve specific program goals.
  • Ability to meet deadlines and coordinate activities of a large, active and fast-paced department.
  • Excellent communication and interpersonal skills.
  • Highly organized and detail-oriented.
  • Excellent computer skills, including Microsoft Office, with the capability to master new programs and functionalities quickly;
  • Experience managing contracts and generating legal documents preferred.
  • Experience in performing arts or education preferred, but not required.

Essential functions of the position and the percentage of time spent on each:

  • 70% Draft and route contracts on behalf of WMI programming teams
  • 30% Communicate with artists and other stakeholders regarding contracts and payments
