In addition the Associate will play an integral role in the recruitment, training, evaluation, and retention of volunteers. This position will also manage the scheduling and needs for 150+ volunteers in several areas including the Tour Guides, Information Desk, Greeters at both Carnegie Hall Concerts and Carnegie Hall Citywide Concerts, and the Gift Shop.
Other primary responsibilities consist of coordinating Carnegie Hall’s growing tours program including managing relationships with tour operators; scheduling group tours; arranging volunteer staffing; communicating tour scheduling across other departments; and answering docent and tour inquiries.
This individual must excel at working in a public facing capacity with both volunteers and visitors. The Associate must enjoy interacting with people from many diverse backgrounds and is expected to provide tours of Carnegie Hall on an as needed basis. Frequently serving as a liaison between volunteer staff and the Associate Director, this individual is a collaborative member of the Volunteers & Visitor Services team. A part-time Visitor Services assistant will report to the Associate on a by project basis.
Data entry assignments will include logging volunteer hours and their contact information in the Carnegie Hall database (Tessitura), adding tour information to the Artifax database, the Music Ambassador Portal in SharePoint, along with general administrative support. The Associate will also monitor references to Carnegie Hall Tours across all social media platforms.
This position is active from 10 AM – 6 PM, Monday-Friday. Occasional evening hours will be required. A schedule shift of Tuesday – Saturday will be required during higher seasonal activity.
Three to five years of experience and a bachelor’s degree with knowledge of classical, jazz, or world music is strongly preferred. The Associate must have strong inter-personal and phone skills, should be detail-oriented, have the ability to multi-task in a fast-paced environment, possess strong organizational skills, and be self-motivated. Knowledge of Microsoft Office Suite required; with Tessitura, Artifax and SharePoint experience a plus.
