As part of the Digital Media team, the Coordinator acts as assistant to the Chief Digital Officer and is responsible for the day-to-day administrative operations of the Digital Media department.  In addition, the Coordinator plays a key role in supporting audio and audiovisual productions, digital product initiatives, and collaborations with digital partners across a wide range of platforms and media formats.

Tasks & Responsibilities:
  • Maintain calendars, schedules, and project documentation for Digital Media productions and co-productions with media partners
  • Assist in developing and managing Carnegie Hall’s presence on music streaming services
  • Manage departmental media assets and associated departmental records, including production files and media rights and clearances
  • Support quality-assurance (QA) and user-experience (UX) testing of digital products
  • Coordinate routing processes for digital content
  • Contribute to social media planning and content development
  • Coordinate calendar, communications, and travel arrangements for the CDO
  • Maintain administrative budget records, process invoices and expense statements
  • Route contracts and other documents for signatures
  • Work with Human Resources and Finance in the process of hiring temporary employees and processing employee payroll
  • Handle logistics and scheduling for departmental staff meetings and events
  • Assist with data entry, order processing, and maintenance of constituent database
  • Assist with administrative tasks as needed across the department
Qualifications
  • Ability to learn and adapt quickly to new digital tools and platforms
  • Excellent writing, editing and proof-reading skills
  • Excellent computer skills, including Microsoft Office 365 suite
  • Basic familiarity with HTML and CSS
  • Interest in music preferred
  • Outstanding interpersonal skills and telephone demeanor
  • Meticulous attention to detail, excellent organizational skills, and ability to multi-task in a fast-paced work environment
  • Ability to meet deadlines and coordinate activities of an active department
  • Ability to be flexible and limber in the workplace as needs shift
  • Excellent time management along with ability to work independently and collaboratively
  • Culturally responsive, superior communication, and interpersonal skills

  • Some evening and weekend coverage required
