Coordinator, REW Operations

Carnegie Hall seeks an Operations Coordinator to support the Resnick Education Wing (REW) Operations team.  The Coordinator will provide general assistance to the Director as well as operational and administrative support of programs and events that take place in the REW. The Coordinator will interact with a broad range of internal and external constituents.

Scope of responsibilities:

  • Provide administrative and operational support to the Director on large-scale and special events that take place in the REW
  • Provide administrative support on all recording projects that take place in the REW
  • Provide coverage of the REW Front Desk, which includes:

    I. Inputting guest names into the Guest Management System

    II. Creating and distributing guest access cards

    III. Communicating immediate needs to appropriate Carnegie Hall personnel regarding resource additions, maintenance needs, unlock/lock door requests, temperature adjustments, etc.

    IV. Processing maintenance ticket requests

  • Maintain the department’s SharePoint site and update, as necessary
  • Reserve, confirm, and administer all individual rehearsal requests for practice rooms, studios, and ensemble spaces within the REW
  • Coordinate and communicate all weekly Security and Building Services needs for activity in the REW
  • Conduct evening operational walkthroughs of all REW spaces to ensure they are event ready for the following day
  • Assist with administrative budget, including the processing and routing of invoices and tracking all expenses
  • Obtain and maintain F-03 Certificate of Fitness, issued by FDNY
  • Self-motivated individual who is equally comfortable working independently as well as collaboratively
  • Outstanding customer service skills with emphasis on diplomacy
  • Ability to meet deadlines, understand how to prioritize, and adjust tasks accordingly to the ever-changing needs of an active event space
  • Ability to look critically at processes and offer recommendations for improvement
  • Excellent writing, editing, and proof-reading skills
  • Excellent computer skills, including Microsoft Office 365 suite
  • Experience and/or interest in venue and event management
  • Ability to work a weekday evening/night schedule of Monday-Friday 230p-1030p with some additional event coverage, as necessary
  • Bachelor’s degree required
